Hi Angela,

Tablecloths and I believe napkins and silverware were purchased last year.  We still have the tablecloths.

I am in favor of lowering the price to $30 this year and getting the Taco Guy.  Mojo’s kind offer to reduce his directing fee is helpful toward this end.  I am leaving Monday and will be gone for almost a month.  I would like this wrapped up before I leave but if not, I am handing it to you Angela to get something booked. I am not going to be attnding any meetings.  My vote is the above.

And quite frankly, I am tired of hearing about people complaining we aren’t feeding them for the unit games.  Does any one of you on thie Board want to be responsble for bringing food twice a month to unit games.  People should be happy to have a wonderful game to play for 4 hours for $10.  What other activity can you do for that, certainly not a movie or golf?

Also, I am not donating for dessert and drinks.  After watching the debacle last year with people piling their plates and bringing take home containers, I say we purchase what we need.  We are all volunteers here and I don’t see many people stepping up to volunteer or help out that are not on the Board.  They just complain about what we don’t do for them.

So, Angela, the ball is in your court now.  You can have a committee meeting and do whatever you want.  You have my vote above.

What supplies were bought that cost $277? Tablecloths? Also, I would like to lower the price to $25/person...a holiday gift to our members. They already complain about the lack of food at the Unit Games and many thought the price was too high last year. Don’t we have enough in the budget to cover the deficit? Maybe we can get donations for desserts and drinks? Perhaps the Christmas Party Committee should meet and brainstorm cost saving strategies.

I propose we keep the fee @35 per person. I am OK with the Taco guy, makes for a change. I am not sure about box lunches. my 2 cents. Michael

Dear Board,

I went to Mariam’s today to get the information on last year’s xmas party.  It is as follows—

Arcadia Community Center Cost            $541.00

Sanction Fees                              120.25

Director                                200.00

Centerpieces                              48.55

Supplies                                277.15

Food                                    1,278.44

TOTAL                                2,465.39

Our income from the party last year charging $35/person was $2625.00

so our net income last year was $159.61.

This year we are contemplating using the Taco Guy, estimate for 100 people is $1578.

This does not include dessert and drinks.  The reason for the food increase I believe is that we were pricing box lunches which are more expensive than getting sandwich trays and salad bowls.  I believe my Green Street bill last year was around $900 and the rest was dessert and drinks.  So it  is significantly more expensive to use either box launches or the Taco Guy.  Both are inviting because they remove the work from us.

So here are my questions, and if you could take the time to answer them, it would be helpful—

1.    MoJo, has there been an increase in the director fee for this year?

2.    Arcadia Center is the same price and I assume that sanctions will be around the same.  Last year I think we had 18 tables, which is 72 people.  We could lower the number of people for the Taco Guy to 75 which will cut that cost.

3.    I believe Jan still has the tablecloths from last year, but I will have to check with her so that cuts out that cost.

4.    Do you think it’s realistic to expect around 18 tables this year?

If we charge $30/person and have 18 tables, here is the breakdown

Arcadia                541.
Director                200
supplies                250
Food     `                  1200
Sanction                 130
Des/Dri                200

TOTAL            2521.00

72@$30            2160.00

We would be at a negative $361.00 but I think we have the funds and our unit members would be grateful and we might even get more people.

Can you give me your opinions on whether we should go ahead with this or do the same thing we did last year?

Lisa
